Setting Up Staff Profiles
In this guide you will learn how to create, and activate, staff profiles. You'll also learn how to reset staff account passwords, and how to deactivate staff profiles.

Create Staff Member
To get started, click Admin from the Home Page on the left side, and then Staff from the drop-down menu that appears. Click the large blue "Add Staff" button near the top-right.

Fill out the following fields (required fields will be denoted with an asterisk*). It's important to remember that the key identifying field for any profile in your environment is the e-mail address. No two staff accounts may use the same e-mail address for their staff profile. It is important that their email is input correctly, as it serves as their employee login to the Approach MainApp.
- Note: DO NOT edit the email on a staff account, as it does not update our authentication services, and they will not be able to log into Approach. In order to use a different email please create a new staff account.
- Note: You will not be able to save a new staff member until all required fields are completed.
When setting up a new staff member make sure to set their permission level to either Staff, Admin, or Owner.
- Note: Staff-level permission will prevent the staff profile from being able to access the Finances, Admin, and Calendar Admin drop down menus from the Home Screen.
Activate Staff Members and Password Reset
Once you've completed and saved the new staff profile, you will then click on the hamburger (three vertically oriented dots) in the upper right hand corner of the new staff member’s staff profile and click "Activate".

- When you click Activate, it will automatically send them an email to reset their password
- After they have set their password, they will continue to {yournamespace}.approach.app and proceed to log into the MainApp
- If the link to set the password expires, you must go back to their staff profile and click Reset Password
Deactivate Staff Members
When a staff member no longer requires access to your Gym’s MainApp, complete the following steps:
1. Navigate to the Staff Profile you wish to deactivate ( "Admin"-> "Staff"-> *Search staff member*)
2. Click the Hamburger in the top right of the Staff Profile, and then click "Deactivate".
